PA TO THE CEO OF A GLOBAL MANUFACTURING COMPANY

We have an exciting opportunity for an experienced Personal Assistant to support the CEO of a leading international food manufacturing company in Malton, North Yorkshire. Mainly supporting the CEO, the PA will also play a pivotal role in optimising the efficiency and effectiveness of the senior leadership team’s schedules. You will be entrusted with comprehensive management of travel arrangements and diaries for the senior leadership team (SLT), requiring a high degree of governance, organisation, and proactive planning.

Beyond logistical coordination, this position requires a nuanced understanding of the company’s strategic priorities. The successful candidate will proactively apply their knowledge of the CEO’s preferences and priorities to make judgment calls on diary management without constant reference back to the CEO. This entails a deep comprehension of what is critical to the CEO and the organisation at large, ensuring that time is allocated to align with the company’s overarching goals. You will be responsible for addressing the current gap, which the CEO is overly involved in diary planning due to the current support structure being spread too thin. You will be expected to alleviate the CEO from the operational load of diary management, allowing them to focus more on strategic decision-making and leadership responsibilities.

This role offers a unique opportunity to contribute significantly to the company's strategic direction by ensuring that the CEO and senior leadership team are optimally supported. The ideal candidate will bring not only the necessary administrative skills but also a strategic mindset that aligns with the company’s vision and values.

This full-time, in-person role will require the candidate to be based in their main headquarters in Malton, North Yorkshire, Monday-Friday. Besides going into the office every week, this role will require very occasional travel within the UK. Benefits include car allowance, 25 days holiday plus bank holidays, and a competitive contributory pension.

DUTIES INCLUDE BUT ARE NOT LIMITED TO:
• Diary and Travel Management: Assume full responsibility for governing the diaries of the senior leadership team, ensuring optimal organisation and coordination of schedules. This includes managing complex travel arrangements and itineraries with precision and foresight.
• Independent Coordination: The ability to consolidate and manage diaries with minimal supervision, demonstrating initiative and the capacity to make informed decisions independently. Offering parity and stability across the organisation through effective external content planning and scheduling.
• Strategic support and efficiency improvement in the diary management of the CEO.
• Act as a primary point of contact for key internal and external stakeholders.
• Coordinate and prepare materials for key meetings, including agendas, presentations, and minutes.
• Maintain and update confidential records and databases related to board activities and company affairs.
• Collaborate with various departments and executive teams to ensure seamless communication and coordination for board-related matters.
• Handle sensitive and confidential information with the utmost discretion and confidentiality.
• Provide general administration, including handling expense reports, processing invoices, and maintaining important documents.
• Undertake ad-hoc tasks and projects when required.
• Independently perform other administrative tasks.

ESSENTIAL CRITERIA:
• Proven experience as an Executive PA or similar role supporting senior executives or board members in a corporate environment.
• Degree-level education is preferable but not essential.
• Proven experience handling complex diaries and travel arrangements for high-level executives, preferably in the manufacturing sector.
• Exceptional organisational skills and attention to detail, with a proven ability to work autonomously and make independent decisions based on a comprehensive understanding of the company’s priorities.
• Strong communication and interpersonal skills.
• Demonstrated ability to prioritise, manage time efficiently, and adapt to changing priorities in a fast-paced environment.
• A proactive and forward-thinking approach, with a keen ability to anticipate the needs of the CEO and the senior leadership team.
• Professional demeanour, demonstrating a commitment to maintaining the highest level of professionalism at all times.
• Adapts swiftly to changing circumstances and thrives in a dynamic environment.
• Driven by a commitment to excellence and continuous improvement.
• Adept at building and maintaining positive relationships.
• Excellent IT skills - MS Excel, Word, Outlook, and PowerPoint.
• Fluent in English – in both written and spoken.
• Excellent checkable reference.
