PA TO CREATIVE DIRECTOR OF LUXURY PROPERTY GROUP

We are pleased to present an exciting opportunity for the role of Personal Assistant and Coordinator to the Creative Director of one of London’s most prestigious luxury property groups. As part of this role, you will undertake a wide array of administrative and practical tasks to support the Creative Director and provide assistance to the broader studio team. The Creative Director is highly inspirational and dedicated and is looking for an organised assistant who can match her energy, drive and pace and provide first class support. The Director is responsible for the brand aesthetic and has a large remit which includes the interior design studio and marketing teams. She therefore has a busy and varied schedule, meaning their assistant will need to be able to manage multiple tasks and projects at any one time.
This is an incredible opportunity for a proactive and well organised PA to join a welcoming and supportive team. Your key responsibilities will encompass various aspects of PA support, administrative duties, coordination of projects, and overseeing procurement processes. In addition, you will be responsible for managing travel arrangements, external engagements, and supporting various projects. This fast-paced and demanding position requires an individual who can thrive under pressure and handle high-end responsibilities with ease.

This role would be well-suited to a highly organised, driven, dedicated and confident assistant. You will have a high level of attention to detail and a “can-do” positive attitude. Previous experience or a personal interest in the interior design industry, arts, culture or a creative field would be highly advantageous for this role.

Usual working hours are Monday – Friday 08:30 – 17:30 based at amazing offices in Mayfair. This role does not offer hybrid working, however, flexibility of working from home may be granted on occasion. The role could potentially require you to travel with the Creative Director assisting and setting up ongoing projects. Benefits include 25 days holiday + bank holidays, private health insurance, pension and life insurance.

CORE RESPONSIBILITIES:
• PA support e.g. diary management including prioritising conflicting needs; handling matters efficiently, proactively, and following through. Expenses and travel related tasks – booking flights, responding to changes promptly and effectively.
• Organising meetings and video calls ensuring plans are communicated well with the team and any stakeholders involved.
• General administration tasks e.g. answering phones, taking messages, drafting correspondence, typing reports/minutes, organising couriers.
• Providing general support to the Creative Director and team – this will vary but will include supporting with show apartments, events and varied projects.
• Overseeing and coordinating FF&E orders for multiple projects - from obtaining quotes, order placement, confirmation, and shipment tracking to generating reports, and overseeing deliveries and installation coordination.
• Dealing with suppliers to ensure the quality and timely delivery of products.
• Helping to track budgets and maintaining communication with key stakeholders, including the studio team, contractors, and suppliers.
• Managing an inventory of item to facilitate efficient tracking and retrieval.

ESSENTIAL CRITERIA:
• Proven experience in an administrative role or a comparable position, demonstrating exceptional organisational and time-management skills.
• Prior experience or strong personal interest in interior design and/or the luxury industry would be hugely advantageous in this role.
• Strong verbal and written communication skills.
• Proficiency in standard office applications such as Microsoft Office and Excel.
• Precision in work with a keen eye for detail.
• Strong planning and organisational abilities, with strong follow-up and completion.
• Capability to work independently, embracing new challenges and assignments.
• Thrives under pressure, maintaining composure with tight deadlines.
• Works effectively and responsibly.
