PERSONAL ASSISTANT FOR PRIVATE FAMILY OFFICE

We are looking for an enthusiastic, driven and hardworking Personal Assistant to join the large family office of one of our longstanding clients. This is a fast-paced business-focused PA role, you will be the right-hand to a Senior Director as well as the wider team, and will work diligently to ensure that the Director’s work runs as smoothly as possible.

You will be joining a vibrant, fun and close-knit team, who are dedicated and professional, yet warm and welcoming. As a right-hand to the Director, you will manage their diary and meeting schedules as well as all communications, oversee and plan their travel arrangements, draft agendas, take minutes, manage expenses and general administration.

The ideal candidate will be driven to exceed expectations, have a great deal of initiative and be able to pre-empt the needs of the Director and ensure there are always contingency plans in place. You will have an exceptionally high attention to detail, be tech-savvy, and always try to stay one step ahead. Professional, and an ambassador for the team at all times, you will also be down-to-earth and highly personable.

Based in the Central London office, usual working hours are Monday-Friday from 9am-5:30pm (can be flexible for the right candidate), with the need for flexibility to work out of hours during busy periods. You will also be required to be on-call out of hours for urgent matters. Benefits include an excellent pension scheme and additional perks.

DUTIES TO INCLUDE:
• Complex diary management for the Director: booking and managing all meetings, agendas and minute-taking. Dealing with last-minute changes effectively.
• Travel planning and booking: itineraries, flights and trains, transfers, hotels and accommodation.
• Managing all communication and correspondence including inbox management.
• Expense management for the Director and the wider team.
• Setting up of meeting rooms and replenishing refreshments.
• General administration, filing and research for the Director and the wider team.
• Ad-hoc duties and responsibilities as required.

ESSENTIAL CRITERIA:
• Prior PA experience in a similar fast-paced role supporting senior management.
• Excellent communication skills - both written and verbal.
• Highly organised with exacting attention to detail.
• The ability to prioritise effectively and manage conflicting demands.
• Excellent diary management skills and the ability to manage last-minute changes effectively.
• An excellent team player who is able to build brilliant working relationships across the board.
• Self-driven with the ability to work autonomously.
• Calm and unflappable in challenging situations – able to work under pressure.
• Ability to work effectively in a fast-paced role.
• Highly discreet and able to maintain high levels of confidentiality.
• Flexible and happy to assist with a variety of duties depending on the needs of the team.
• Tech-savvy and proficient with Microsoft Office Suite.
• Excellent checkable references.
