EA/RIGHT-HAND TO HIGH-PROFILE MUSICIAN – HENLEY

We have a fantastic, once-in-a-lifetime opportunity for an experienced, top-notch, loyal Executive Assistant to support a high-profile musician and incredibly busy businessman, out of his main residence in Henley-on-Thames. A true "Right-Hand" role, you will provide world-class support to the principal across all areas of his life, which includes his career within the music, film, television and property, as well as his personal life. With businesses and ventures both in the UK and the US, this is a fast-paced role, suitable for a level-headed candidate who has preferably supported a C-suite Director or successful creative within music, film or media.

Mainly based out of the principal’s home office in Henley-on-Thames, you will be responsible for extensive and complex diary management across multiple time zones and various businesses and industries. Acting as the principal's Gatekeeper, you will need to ensure that all elements of his life run smoothly and promptly, by streamlining procedures and calendars, and ensuring that the most important information is always promptly relayed to the principal. Working alongside a family PA, as well as a wider team of staff, you will assist with business-related and lifestyle management, travel coordination and booking, overseeing finances, drafting contracts and managing legal administration. You will be the go-to and additional support for all matters and will work to pre-empt the principal’s needs and exceed expectations.

Our client is looking for a critical thinker – someone who is loyal, a go-getter, and can take a large amount of information and turn it into actionable deliverables. The successful candidate will be emotionally mature, highly efficient and detail orientated.

Usual working hours are 10 am – 6 pm Monday to Friday, with flexibility required when there are shows or events to be managed over weekends. Working mainly out of the Henley home office for 4 days a week, with the option of working from home for one day, the ideal candidate will be local to Henley, or within a commutable distance (West London or surrounding Oxfordshire).

KEY RESPONSIBILITIES TO INCLUDE:
• Complex diary coordination across multiple international time zones and businesses- managing and maintaining the Principal’s schedules and appointments
• Frequent and often last-minute travel arrangements, visas and itineraries.
• Handling all of the Principal’s correspondence
• Developing and maintaining contact with several third-party stakeholders and clients
• Performing administrative tasks, such as filing, printing, preparing and editing documents etc.
• Drafting and summarising reports
• Monitoring, examining and handling monthly invoices and following up on payments
• Attend discreetly high-level meetings and take minutes - follow up on complex tasks
• Handling all private family and personal matters
• Coordinating with multiple offices
• Dealing with lawyers, auditors and PR firms


ESSENTIAL CRITERIA:
• Experienced career Personal or Executive Assistant supporting C-suite executives or high-profile individuals within the music, film or television industries
• Valid UK passport or work visa
• Highly professional, well-presented and polished
• Excellent English – both spoken and written
• Meticulous attention to detail
• Handle a constantly changing schedule
• Anticipating problems and providing solutions
• Committed, with dedication and a fast pace of implementation
• Dependable and trustworthy
• Excellent checkable references
