MARKETING ASSISTANT/OFFICE MANAGER – LONDON

We have a fantastic opportunity for a confident, ambitious and organised Office Manager & Marketing Assistant to a highly regarded and rapidly growing luxury London property consultancy who works with UHNW and high-profile clients globally. Based in Central London, you will join an existing team of 12, with plans to grow the business by 50% in the coming 12 months.

This is a fantastic position for a super organised Office Manager with a background in Marketing, who is highly-service orientated, creative, with an interest in design, who can hit the ground running. You will be providing support to the Head of Projects and Head of Partners, as well as to the rest of the office and team. You will also offer extensive assistance across all marketing, design, social media management, as well as be responsible for ensuring that the office runs smoothly. The successful candidate will have experience drafting contracts, dealing with legal documentation, as well as arranging meetings and handling multiple office duties simultaneously.

You will be proactive, a self-starter and always two steps ahead - highly organised with exacting attention to detail, a creative mind with an eloquent writing style. Eager to learn, and driven to excel at everything you do – you will be happy to assist across the board and immerse yourself in the business as a whole.

Usual working hours are 09:0-18:00 Monday to Thursday, and then 09:00 –16:00 on Fridays.

DUTIES TO INCLUDE BUT NOT BE LIMITED TO:
• Ensuring smooth office operations and providing high-end service.
• Implementing and maintaining office policies and procedures by establishing highest standards; measuring results against standards; making necessary adjustments.
• Supporting the Head of Projects and Head of Partners with all assistant duties.
• Assist the Marketing team with projects.
• Management of correspondence and maintaining filing systems.
• Drafting contracts.
• Be the first point of contact for all office matters including: maintenance, mailing, supplies, equipment, bills, and expense reports.
• Maintain the office condition and ensuring cleanliness, safety and high standards of conditions for work.
• Management and set-up of conference rooms.
• Manage employee queries regarding office management issues (e.g. stationery, hardware and travel / transportation arrangements).
• Facilities management: liaising with vendors, including cleaning, catering and security services.
• Answer incoming phone calls, schedule meetings and appointments when requested
• Manage travel arrangements.
• Provide general support to visitors and general enquiries as well as layout and tidiness of conference rooms.
• General support to all office related issues.

ESSENTIAL CRITERIA:
• Experience as an Office Manager or Marketing Assistant in a boutique agency
• Fluency in English
• Experience in Marketing
• Computer literacy and tech-savvy (knowledge of in-design and social media platforms)
• Discrete, loyal, reliable and punctual
• Outstanding communication skills – both verbal and written
• Autonomous and solution-focused
• Organised, efficient and detail-oriented
• Service minded, with a positive and hands-on attitude
• Immaculately presented
• Excellent checkable references
