C-SUITE EA FOR GLOBAL MARITIME ENGINEERING FIRM

We are recruiting for an experienced, personable Executive Assistant to support the London-based Directors (legal, commercial and strategy) of a highly established maritime engineering firm at their office near London Bridge. Disruptors of their industry, pioneering twenty-first century offshore and maritime engineering with daring ingenuity, this is an exciting opportunity in a rapidly expanding business. With around 30 people in the London office and an employee count of over 700 across the UK, the Directors are looking for a highly organized, multi-tasking EA to act as their Gatekeeper and first point of contact inside and outside of the company.

In this 1:3, and at times 1:4 role, you will be responsible for providing support of a confidential and complex nature whilst managing all responsibilities to strict deadlines, alongside non-routine activities and general guidelines with limited direction. You will work as part of a team of Assistants, and provide cover for the CEO’s EA as and when required.

Core work hours are 9 am to 5 pm, Monday to Friday, out of the office near London Bridge. Previous experience working as a C-suite EA would be highly advantageous.

CORE RESPONSIBILITIES:
• Act as the main gatekeeper to the Directors including being the first point of contact for the Directors inside & outside the company, screening of calls and taking messages.
o Flag urgent emails, prioritise requests and respond to correspondence directly where applicable.
• Extensive diary management.
• Coordinate all aspects of appointments, meetings, receptions and conference calls.
• Manage all travel for Directors including applying for and updating Visa's & ESTA’s, booking chauffeurs, taxis, hire cars, flights & hotels as well preparing full itineraries alongside dinner reservations and client entertainment.
• Develop key stakeholder management, building networks outside the company, as well as maintaining relationships internally & externally.
• Responsible for supporting the Chief Strategy and Transformation Officer in preparation of change programme.
• Prepare, reconcile and track expense claims.
• Meeting and greeting all clients and visitors that we have in the London office professionally, acting as a brand ambassador at all times.
• Managing internal meeting room diaries by booking rooms, and providing assistance in setting meeting rooms up, ensuring video conferencing equipment works, and printing off the relevant papers in preparation.
• Assist with daily queries, both internal and external.
• Photocopying & printing files & appropriate documents as needed

ESSENTIAL CRITERIA:
• Experience of working as an EA, ideally at Board level, with Plc experience.
• Highly organised and able to multitask and prioritise.
• Ability to work independently and make decisions with minimal supervision.
• Demonstrates good judgement in pressured situations.
• Be in the office 5 days a week to support all departments within the group
• Tech Savvy (Advanced level of Microsoft packages including, Outlook Word, Excel & PowerPoint)
• Support the company culture and positioning
• Be open and communicative with a positive, can-do attitude & approach to work
• Willing to learn new skills & tasks to provide extra support during busier periods
• Be compliant with company procedures to generate best practice
• Use your own initiative & be time efficient
• Be self-starting and confident, happy to be part of a growing team. Very much a start-up environment where you will be expected to take on extra duties to support the group as a whole
