EXECUTIVE ASSISTANT FOR GLOBAL TECH FIRM – LONDON

An incredible opportunity has arisen for an exceptional Executive Assistant with extensive C-suite experience within a new HQ for a flourishing global tech company in London. The newly relocated HQ is currently functioning as a “start-up” hub for the global company, hiring key roles to establish themselves as a global leader in their field and to ensure that the growth is a huge success.

Although a 1:2 executive support role, you should be highly flexible and adaptable to assist and provide support wherever needed, to ensure that the HQ runs smoothly and efficiently. In order to thrive in the role, a candidate familiar with start-up and corporate environments, experienced in onboarding new executives, as well as working across multiple timezones, would be ideal.

The successful candidate would be highly professional, dedicated and able to hit the ground running and thrive in a fast-paced environment. You will possess gravitas, be highly self-sufficient, with an impeccable eye for detail. Loyalty and longevity are also key as they’re looking for someone to commit long-term and grow in the role.

Based in the office Monday to Friday from 9 am - 5 pm in London’s East End, this role requires flexibility to work outside of these hours when executives travel across different time zones.

CORE RESPONSIBILITIES:
• Proactively planning and managing executives’ diaries with the ability to make quick decisions and react with urgency when necessary.
• Extensive travel planning, including but not limited to: hotels, transfers, flight bookings, visas, detailed itineraries etc.
• Communication and diary management across multiple time zones.
• Liaise with clients and communicate across all levels.
• Project management and conducting research are required.
• Processing business expenses and providing full business administrative support.
• Occasional event planning, organisation and execution.
• General office management on occasion.
• Preparing for and scheduling meeting agendas.
• Ad-hoc personal duties.

ESSENTIAL CRITERIA:
• Highly experienced as an EA, providing multiple C-suite support
• Experience working across different time zones
• Experience in small start-up environments as well as corporate environments
• Holding a degree-level education or equivalent would be strongly preferred.
• Excellent command and fluency of the English language.
• The ability for basic communication in Mandarin would be beneficial, but not essential.
• Brilliant communications skills and the ability to liaise at all levels.
• High level of confidentiality and the ability to handle sensitive information.
• Hands-on, hardworking and personable demeanour with a good sense of humour.
• Loyal and dedicated, polished, professional and an ambassador for the business.
• Able to pre-empt the principal’s needs and work proactively.
• Excellent tech skills with the ability to create documents from scratch across a range of packages (Microsoft Office).
• Eligibility to work in the UK.
• Excellent checkable references.
