PART-TIME OFFICE ADMINISTRATOR FOR ART RETAILER

We have a fantastic new opportunity for a Part-time Office Administrator for a multi-channel art business, at their HQ in London.

In this role, you will work as an integral part of the office and personnel function with the key aim of ensuring that the office is a welcoming environment for the team and any visitors. You will support the office, with day-to-day administration, diary and event handling, meeting room booking, travel booking, health and safety, rotas, facilities coordination, maintenance and communication. Central to your success in this role will be your ability to be extremely organized and structured, efficient, professional, and engage well in a support capacity with different levels of people in the business.

Working hours are Monday to Friday, 25 hours per week, 5 hours per day, based out of the office in Camden.

DUTIES TO INCLUDE BUT NOT LIMITED TO:
Office Coordination & Management
• Post sorting and distribution- including mail franking, arranging post and courier services for the Team & drop-offs and collections at Post Office and courier depots as required.
• Kitchen & consumables supplies management.
• Liaison with external contractors, and key stakeholders i.e. cleaning, maintenance, condiment providers etc.
• Ensuring that suppliers are providing respective services on time and as agreed.
• Organisation of office staff equipment.
• Communication & planning
• Main internal & external point of contact for enquiries regarding the offices and their functioning
• Fielding any inbound calls to the appropriate office team member.
• Diary Management & meeting room booking where applicable.
• Event planning.
• Staff engagement communication.
• Personnel support & administration
• Together with the HR Assistant complete updates to company communication, including the organisation chart, reflecting, any department changes, leavers, position changes and promotions.
• Support with projects as and when directed by the Chief People Officer.
• Management of office and HR-related credit card expenses.
• Minute taking –writing and sending accurate notes to colleagues
Health & Safety & Facilities
• Assist with the coordination of table/department moves, and office moves where applicable.
• Ensure that the office is kept tidy.
• Ensure that the kitchen and office equipment are kept in good working order reporting.
• Manage first aid and fire marshal bookings for the office, ensuring that the right number of people are trained in the right place at the right time.
• Ensure all printers and the fax are kept fully stocked.
• Maintenance of the office, liaising with office suppliers and Landlord as directed by the Chief People Officer.
• Liaison with office contractors, including cleaners and anything facilities orientated.
General- Office Support & Ad-hoc duties
• Kitchen and general office supplies management (including refreshments, beverages, condiments etc.)
• Stationery orders, store supplies orders, office supplies orders
• Coordination of visits to the office taxis and travel coordination.
• Preparation and delivery of all generic office and company memos as directed.
• Meet and greet all office guests, and handle deliveries.

ESSENTIAL CRITERIA:
• Minimum of 2 years previous office administration and management experience working in an SME (desirable).
• Excellent communication skills - fluency in written and spoken English (essential).
• Professional, friendly demeanour with a positive 'can-do' attitude.
• Business-focused with the ability to work well in a team and interact in a confident, professional manner with
• Senior Management, office colleagues and retail personnel.
• Excellent organisational skills with the ability to multi-task (essential), with experience working in a fast-paced constantly evolving environment.
• You must be able to work to tight deadlines and prioritise workload whilst ensuring attention to detail.
• Highest standards of discretion & confidentiality.
• Intermediate/advanced working knowledge of Microsoft Office Suite.
• Numeracy skills.
• Passionate & enthusiastic about art!
