BILINGUAL EA TO SUPPORT CEO OF MULTI FAMILY OFFICE

A fantastic opportunity has arisen for an experienced, bilingual (French/Italian and English) Executive Assistant to support the CEO of an international Multi Family Office in Mayfair, London. Our client is looking for a dynamic and driven EA to join their small and close-knit team. This office manages and oversees investments and assets of UHNWI clients who are international with sophisticated investments across a broad range of asset classes.

The CEO/ Principal travels frequently and works across global jurisdictions, so this position would suit a candidate who has strong language skills, particularly in French or Italian. You will be responsible for all EA duties in support of the CEO. This will include extensive diary management, scheduling of appointments and meetings, strong travel management and support, as well as maintaining strong third-party relationships. The ideal candidate would have experience as an EA within a HNW or Private Family office, but the client is willing to consider candidates from a strong corporate background.

Normal working hours are 9 am to 6 pm, Monday to Friday. Predominantly based out of the Mayfair office, with hybrid working possible when the Principal is not in the office.

CORE RESPONSIBILITIES:
• Extensive calendar management – daily management of scheduling & rescheduling appointments and communicating to attendees
• Exercising a flexible approach to changing schedules, ensuring appointments are met
• Schedule and organise meetings, conferences, and off-site events
• The Principal travels extensively, therefore the candidate will need to arrange this and be aware of the Principal’s whereabouts
• Scheduling personal appointments
• Act as a “gate-keeper” while prioritizing the needs of the Principal
• Managing third-party relationships, dealing with tax lawyers and property matters
• Ad hoc support to other members of the team, ensuring the smooth running of the office
• Ad-hoc personal duties

ESSENTIAL CRITERIA:
• Experience as an EA in a Family Office or supporting a HNWI would be advantageous
• Holding a degree level education or equivalent would be strongly preferred
• High level of communication in English as well as another language, particularly French or Italian
• Attention to detail and highly organised
• Brilliant communications skills and the ability to liaise at all levels
• Hands-on, logical and reasonable
• Loyal and dedicated, polished, professional and an ambassador for the business
• Eligibility to work in the UK
• Extremely organised and responsive to the needs of the CEO
• Excellent checkable references
