EXPERIENCED EA TO SUPPORT CREATIVE UHNWI
We have an incredible opportunity for an experienced and highly diligent Executive Assistant to support a creative ultra-high-net-worth individual - this is a varied and dynamic role, supporting the principal in all aspects of their professional life.
Assisting with running a busy studio - you will be responsible for managing their busy diary and inbox, meeting preparation, and organising all their international business travel and logistics. You will be experienced in researching projects and project management, coordinating the activities of multiple staff members across the business and liaising with external stakeholders such as publishers, galleries and agents.
Working in a fast-paced creative environment, the ideal candidate will be confident, trustworthy, and proactive – someone they can count on to get the job done. The right hand to the principal you will be solution-focused, highly organised, and have strong attention to detail. Alongside all business support, you will be responsible for some Private PA duties and will coordinate with other family EAs to ensure the principal’s life runs smoothly at all times.
This role requires the successful candidate to be on-site 5 days per week, 3-4 days at the principal’s studio in Oxfordshire and 1 day in Central London - you will need to live a commutable distance from the studio in Oxfordshire. Typical working hours are 9:00am to 6:00pm, Monday to Friday, with the flexibility required on occasion. Benefits include pension, private medical, critical illness, death in service, income protection, and 25 days of holiday plus bank holidays.
KEY RESPONSIBILITIES:
• Assist in running a busy studio across multiple locations
• Complex diary management, scheduling meetings, creating agendas, and managing all professional and personal appointments
• Manage and filter all professional and personal email inboxes, post, etc.
• Gatekeeper to the principal
• Managing relationships with the principal’s business contacts and professional stakeholders
• Researching projects
• Project management
• Event planning
• Managing deliveries, post and couriers as required
• Oversee vendors, and manage bills and expenses both business and personal
• Travel booking both domestic and international – flights, hotels, cars, logistics
• Coordinating repairs and maintenance at office and studio locations
• Ad-hoc duties as required
ESSENTIAL CRITERIA:
• Multiple years’ prior EA experience working in a similar role for a high-profile/UHNW/successful principal
• Very proactive and adaptable
• Hardworking, driven, and service-orientated
• Highly organized, efficient and logical
• Assertive and resilient
• Discrete, loyal and professional
• Great communicator
• Strong attention to detail
• Calm and polite
• Fluent in English – in both written and spoken
• Excellent checkable references
