EA/PRODUCER OF A PRIVATE OFFICE TO A CREATIVE HNWI
We have an incredible opportunity for an experienced Executive Assistant / Producer to support our lovely client based in Henley-on-Thames, Oxfordshire. In a true ‘Right-Hand’ role, you will be a dedicated professional and ensure the smooth running of the principal’s lifestyle and private life, multiple properties, and business interests within music, film, and television. This is a fast-paced role, suitable for candidates with prior experience supporting UHNW or high-profile individuals - it would also be highly advantageous to have a background in music, television, media or the arts. However, this is not essential.
Our client is looking for a logical and operational mastermind with the energy, dedication, and skill to support them across all aspects of their life. You will be responsible for extensive and complex diary management, both professional and private, across multiple time zones and industries. Working alongside a PA, as well as a wider team of staff, you will assist with business-related and lifestyle management, travel coordination and booking, and overseeing finances. You will be the go-to and additional support for all matters and will work to pre-empt the principal’s needs and exceed expectations.
Our client seeks a service-orientated individual with strong emotional intelligence – someone who is loyal, a go-getter, and can take a large amount of information and turn it into actionable deliverables. The successful candidate will be a profoundly organised, proactive self-starter who takes pride in their work. Solution-focused, you will overcome all hurdles calmly and professionally to ensure that the principal’s business and personal life run effectively. With proven ability to transform chaos into calm and creatively circumvent roadblocks are essential capabilities.
Based out of the principal’s home office in Henley-on-Thames, you will be required to live locally or within a reasonable commutable distance. The ideal candidate will be happy to be on-site from 10am-6pm Monday-Friday, with flexibility to work evenings and weekends when required.
KEY RESPONSIBILITIES TO INCLUDE:
• Complex diary coordination across multiple international time zones and businesses- managing and maintaining the principal’s schedules and appointments
• Frequent and often last-minute travel arrangements, visas, and itineraries
• Handling all of the principal’s correspondence
• Developing and maintaining contact with several third-party stakeholders and clients
• Performing administrative tasks, such as filing, printing, preparing and editing documents, etc.
• Drafting and summarising reports
• Involvement in a variety of ongoing projects
• Ad-hoc research projects
• Monitoring, examining, and handling monthly invoices and following up on payments
• Attend discreetly high-level meetings and take minutes - follow up on complex tasks
• Handling all private family and personal matters
• Coordinating with multiple offices
• Dealing with lawyers, auditors, and PR firms
• Run professional and personal errands and perform other duties as needed
ESSENTIAL CRITERIA:
• Multiple years of experience in providing high-level support to a UHNW or high-profile individual or family
• Experience as an Executive Assistant or Film Producer
• Live locally in Henley or within a commutable distance and happy to work on-site
• Valid UK driving licence and a confident driver
• Highly professional, well-presented, and polished
• Meticulous attention to detail
• Great communicator
• Team player with a positive can-do attitude
• Very proactive, adaptable and unruffled by changing plans
• Excellent diary management skills and the ability to handle a constantly changing schedule
• Anticipating problems and providing solutions
• Committed, with dedication and a fast pace of implementation
• Reliable, honest, and trustworthy
• Eligibility to work in the UK
• Excellent English – both spoken and written
• Excellent checkable references
