EA FOR GLOBAL FTSE250 MANUFACTURING COMPANY
This is a fantastic opportunity for an experienced Executive Assistant to join a FTSE 250 global manufacturing company supporting two of their Executives, the CFO and CHRO. This is a highly reputable company that employs internationally over 10,000 employees, with the London HQ housing 40 in total. Based in the City of London in corporate offices, the working environment is professional yet incredibly friendly and welcoming.
The Executives travel regularly and have busy and ever-changing schedules and therefore require top-class support from their EA to ensure everything runs smoothly at all times. With a strong focus on travel, diary management, meeting preparation and document handling, as well as correspondence management, you will be required to juggle multiple tasks at any one time and always maintain high standards of work across the board.
This is a fast-paced role which requires a high level of attention to detail, efficiency, an unflappable demeanour, professionalism and a proactive solution-focused mindset.
Usual office hours are 09:00 – 17:30, Monday to Friday and this role requires the successful candidate to be on-site 5 days per week. The closest stations are Chancery Lane, City Thameslink, Temple and St Pauls. Benefits include pension, bonus scheme, medical insurance, life insurance, 27 days holiday plus bank, and free on-site lunch daily.
KEY RESPONSIBILITIES INCLUDE:
• Diary management; including organisation of all internal and external meetings
• Complex global travel arrangements and accommodation bookings; including coordinating visas, booking flights, hotels, car transfers and taxis, producing detailed travel packs and itineraries
• Correspondence management, including prioritising emails, drafting emails as well as letters
• Document preparation and administration; designing, producing, formatting and collating documents in Word, Excel and PowerPoint
• Internal and external event organisation
• Liaising with Accounts on expenses and ensuring all account information is accurate
• Ad-hoc project work; including research, meeting preparation, document and presentation creation and management
• General administration including, printing, photocopying, binding and filing, to ensure deadlines are met and that seamless support is provided
• Liaising with other support teams e.g. IT, Compliance, Office Managers & Facilities and HR to meet the needs of the business
• Helping other Assistants where necessary and assisting with cover for holidays and sickness
ESSENTIAL CRITERIA:
• Prior EA or PA experience supporting a Senior professional in a similar working environment
• Further education is desirable but not essential
• Strong Microsoft Office skills (good working knowledge of Word, Excel and PowerPoint)
• Excellent organisational skills - the ability to manage time, prioritise conflicting demands, multi-task and work to tight deadlines in a demanding environment
• Highly proactive, self-motivated and can-do approach
• Ability to work on own initiative
• Ability to learn new systems and processes quickly
• High level of accuracy and strong attention to detail
• Flexibility to be available outside working hours to assist managers in case of exceptional and unforeseen travel issues/changes that might occur when travelling
• Outstanding communication skills (both verbal and written)
• Discreet and able to handle highly sensitive information in confidence at all times
• Excellent interpersonal skills – confident in dealing with very senior professionals within and outside of the business, approachable and with a good sense of humour
• Excellent checkable references.
