EXPERIENCED PRIVATE PA FOR PRIVATE FAMILY OFFICE
We have an incredible opportunity for an experienced Private PA to join a private family office located in Central London. The principals and their family are always extremely busy and hands on running multiple businesses.
This is not a quiet family PA role, and you will be working within an established busy private family office, providing direct and thorough support to the principals, their wider family, and their PA.
The role involves complex and ever-changing diary management, extensive door-to-door travel coordination that you have researched, coordinated, and booked yourself, completing busy daily PA activities, administration and impromptu tasks and duties as they arise. Out-of-hours work is expected.
It is preferable that candidates have worked within a family office team previously and have a solid 5+ years of work experience showing longevity and commitment to their principals. You must be able to adapt to the current protocols, systems and procedures and always follow them whilst being flexible and adaptable to changes.
You must take pride in all assigned tasks with nothing ever being too small. You must be able to communicate well with the principals and with your colleagues. You should be self-sufficient and proactive in all you do from approach to completion, hands-on and flexible with your working hours. As with all family offices, there is out-of-hours support, and you must be committed and prepared to be available when needed.
The ideal candidate will be confident and commercially minded, always aware of the three things; time, cost and quality and how they interact, always questioning what’s needed. Can think critically, have good common sense and be happy to work within a team of other like-minded people.
This is a temporary to permanent position. Mainly working from the family office located in Central London, you will also be flexible to occasionally work from the principal’s residence. Working hours are Monday – Friday, 9am – 5pm with out-of-hours support whenever needed. Benefits include private medical insurance, health cash plan, income protection, pension, and 25 days annual leave.
DUTIES INCLUDE BUT ARE NOT LIMITED TO:
• Supporting the principals and the senior PA
• Complex ever-changing diary and calendar management
• Extensive door-to-door travel arrangements, including the use of private jets
• Researching, shopping, and wrapping luxury gifts, including cost comparisons to find the best commercial prices
• Booking a variety of events, personal appointments, restaurants & more
• Petty cash and invoice paying, keeping accurate records at all times
• Thorough maintenance of the internal filing systems
• General PA duties
• Undertake any other tasks that may be requested, including business support
ESSENTIAL CRITERIA:
• Experience as a PA working within a family office team
• Confident in IT, emails, MS Office
• Strong commercial and business awareness
• Ability to work through cost time and quality and how this impacts the needs of the principals
• Excellent English – in both spoken and written
• Meticulous attention to detail
• Committed, with dedication and flexibility to provide out of hours support
• Team player with a can-do attitude and a problem-solver
• Critical thinker
• Honest, trustworthy, and reliable
• Discreet, with a calm demeanour and the ability to work well under pressure
• Independent and responsible, adaptable, versatile with good common sense
• Demonstrate previous work experience as part of a busy team
• Thai language ability is a plus but not required
• Excellent checkable reference
