PA TO DIRECTOR OF FINANCIAL SEARCH FIRM

A quickly expanding and elite financial search firm is looking to find an outstanding Personal Assistant and Office Manager who will offer right-hand support to the principal and their growing team. Our client is looking for someone who has valuable experience in a start-up or medium-sized scale-up environment who is itching to put their impeccable organisational skills to good use in this newly created role. This would be an incredible opportunity for someone with valuable experience looking to take a step up in their career and grow in this role as the business scales. The company works in the highly competitive and fast-paced financial sector with an emphasis on tech and investment.

The role would best be aligned to a Personal Assistant who is comfortable in a corporate environment and who has excellent communication skills across all levels. Experience in HR or recruitment would be highly desirable for this role to allow you to hit the ground running. You need the ability to conduct many of the operational duties on behalf of the Director, as well as be reliable, confident, polished, and an ambassador for the principals and wider team.

Based in Central London, your working hours would be from Monday to Thursday, 9am to 6pm and 10am to 5pm on Fridays. Benefits include discretionary bonus of up to 20%, 21 days holiday + bank holidays, private healthcare, team lunches and annual team trips.

DUTIES TO INCLUDE BUT ARE NOT LIMITED TO:
• Diary and travel management for the Director.
• Scheduling meetings, calls, and general upkeep of clients and staff.
• Ensuring the smooth running and organisation of the office to keep productivity up, in the event of the Director’s absence.
• Being the point of contact with the digital marketing agency and giving your personal input on marketing projects.
• Invoice management and liaising with the bookkeeper and accountants.
• Supporting the Director by providing initial recruitment and screening procedures for potential internal hires.
• Ad hoc organisation in terms of business trips, company events and social team-building activities.
• General HR administrative duties – leave schedules, holidays, timekeeping for the team.
• Creating internal competitions, targets, reward ideas, etc.
• Producing reports on the analytics of the firm – company statistics/records.
• Managing the company’s social media and actively engaging with the various platforms the company uses.
• Ensuring the payroll & commission management is undertaken accurately with all relevant information being provided with the bookkeeper.

ESSENTIAL CRITERIA:
• Minimum of two years’ administrative experience, ideally with a financial institution, or a recruitment/sales environment.
• Impeccable eye for detail and ability to multi-task in a high-pressure work environment.
• Be able to conduct yourself in a personable yet autonomous manner, especially in absence of the Director.
• Excellent interpersonal and communication skills.
• Excellent time management and organisational skills.
• Strong analytical and written skills.
• Confidently able to handle all spheres of technology – internal databases, social media and the common programs in use.
• Having a positive and proactive approach with strong interpersonal skills.
• Excellent checkable references.
