EXPERIENCED EA TO SUPPORT COO OF PROPERTY FIRM

This is an exciting opportunity for a highly experienced and dedicated Executive Assistant to support the Chief Operating Officer of a leading London property company. Based in their new Marylebone offices, you will provide top class organisational and administrative support to the COO across all areas of their business.
 
This is a fast-paced role that requires a calm, organised and intuitive assistant who will be able to pre-empt the COO’s needs and always be one step ahead. You will be highly personable and able to build excellent working relationships with the COO, other executives, administrative colleagues, and the wider team. 
 
This is a fantastic company to work for – they look after their staff well and have excellent longevity across the team. Usual working hours are 9am-6pm, Monday to Friday, with an occasional requirement for on-call for emergencies.
 
Duties to include:
- Diary and inbox management
- Gatekeeping and screening calls
- Manage all incoming and outgoing post
- Inbox management
- Managing expenses and bank statements
- Legal and financial support work internally
- Project management and ongoing tracking of projects
- Company secretary: email address for e-reminders,  confirmation statements, changes of address, PSC registers, new company setup, board minutes etc.
- Covering for other EAs and PAs in absence and holidays
- Managing insurances: building, engineering, car and watercraft insurances
- Invoice tracking, cash flow management, KYC requests
- Compliance
- Tax returns, account management, audit compiling
- General administration
 
Essential criteria:
- Minimum 5 years Executive or Personal Assistant experience supporting an executive
- Interest or experience in property would be beneficial
- Fluency in English both written and spoken
- Excellent communication and grammar skills
- Organised and proactive
- Enthusiastic with a positive ‘can-do’ attitude
- Personable with excellent interpersonal skills
- Confident and able to communicate at all levels
- Hardworking and committed – a natural problem solver
- Well-presented and an ambassador for the principal
- Tech-savvy 
- Excellent checkable references
