MATERNITY COVER PRIVATE PA FOR UHNW PRIVATE FAMILY

This is an amazing opportunity for a highly experienced Private Personal Assistant to join an established international Private Family Office, based out of their large Chelsea Office to cover a maternity leave (12-month contract). You will support the family with their day-to-day administration, activities and commitments, and ensure that their lives are made as easy and efficient as possible.

 

This a varied role that requires the ability to multi-task and manage an often conflicting and ever-changing workload. Discretion is of very high importance for this role – the family want to hire someone who is trustworthy whilst also being incredibly caring and personable.

 

This role is office-based Monday to Friday, 9am-5pm, although you would be on call out of hours the family are highly respectful of your personal time and would only contact you in an emergency.

 

Your main responsibilities will be:

•                     Diary management, including organising and making appointments/reservations to ensure optimal scheduling of private meetings and events

•                     Coordinating personal travel arrangements (flights, transport, accommodation) to ensure all journeys are well-organised and efficiently managed in the most cost-effective way

•                     Organising visa applications and permit extensions

•                     Arranging and offering support in relation to home services such as telecom, broadband and utilities

•                     Supporting family members in relation to vehicles (including purchase, registration, lease and rent)

•                     Helping to organise events, including weddings and parties

•                     Offering to organise relocation support for family members and helping to relocate their personal belongings

•                     General administration and document filing

•                     Troubleshooting whenever personal ad-hoc problems arise

•                     Maintaining and extending a network of external service providers that can be used by the family members

•                     Be in charge of the practical organisation of events held for the family members

•                     Organise office events for the private office staff

•                     Providing other ad-hoc services where necessary

 

Essential Criteria:

•                     A Bachelor’s degree (preferable)

•                     2-3 years of work experience as a Personal Assistant or in a complex administrative role, preferably in an international environment

•                     Fluent in English (spoken and written); additional languages are an advantage

•                     Excellent all-round communication skills

•                     Tech-savvy with an excellent working knowledge of Microsoft Office, especially Excel (including functions and simple formulas) and PowerPoint

•                     A highly service-orientated mindset, with excellent attention to detail

•                     Good problem-solving skills with the ability to multi-task and work under pressure

•                     Observe discretion and confidentiality in respect of all information and documents

•                     Anticipate needs and act accordingly, giving a high priority to service

•                     Have excellent time-management skills, with the ability to prioritise effectively

•                     Are flexible and proactive by nature, able to keep an overview and re-prioritise when needed

•                     Ability to work as part of a team as well as independently

•                     Make decisions autonomously, deal with impromptu requests and take responsibility

•                     Determine goals and priorities effectively and stipulate the time, activities and resources required to achieve the goals set

•                     Organise your own work effectively by formulating objectives and planning activities; you focus the available time and energy on major issues and critical issues

•                     Recognise the effects and results of your own decisions and activities on family members

•                     Are intuitive with a ‘can-do’ worldly attitude

•                     Are reliable and friendly, with diplomatic skills

•                     Valid UK work visa

•                     Excellent checkable references
