Receptionist Travel Coordinator Global Engineering

This is a fantastic opportunity for a highly experienced and professional Receptionist with travel booking experience to join a leading global engineering firm in their amazing central London Offices. The face of the company, you will undertake a varied role to provide a professional yet warm welcome to all visitors, manage all meeting rooms, coordinate travel for the team, as well as office management responsibilities and assistance with facilities. Usual office hours are 08:30 – 17:30, Monday to Friday and there is the opportunity for career progression.


Reception Duties:

-       Manage the reception area; greeting visitors & preparing refreshments

-       Manage the switchboard redirecting calls as appropriate.

-       Manage Reception inbox email and redirecting enquiries as appropriate.

-       Manage meeting room bookings and prepare meetings rooms for meeting

-       Consult with Executive Assistants to ensure smooth running of meetings and lunch time cover of reception

-       Organise inventory of office supplies and kitchen supplies. Ensure that hard facilities supplies including printer cartridges are in stock.

-       Manage the daily post ensuring the incoming post is distributed on time and the outgoing mail is franked correctly.

-       Manage worldwide courier services and provide necessary supporting documentation

-       Responsible for updating the London telephone list to reflect any changes in personnel.

-       Organise and manage London lunch orders and suppliers on a daily basis

-       Research and organise events, make restaurant and private dining reservations. 

-       In collaboration with Managers organise employee leaver drinks.

Travel Coordinator Duties:

-       Manage all travel and hotel bookings for the London office; collaborate with the travel supplier, ensuring the most cost-effective travel and compliance to company travel policy.

-       Produce visa letters and organize visa applications 

Facilities / Office Administration Duties:

-       First point of contact for facility issues

-       Accountable for arranging maintenance call outs and facility reporting.


Essential Criteria:

-       4+ years’ experience as a Receptionist or an Administrative Assistant dealing with Senior Executives. 

-       Experience of liaising with external stakeholders, i.e. Suppliers and Facility Management Companies.  

-       College Qualification + proficiency in Maths and English.

-       Computer literate and competent in Microsoft Office; Excel, Word, PowerPoint, Sharepoint, Outlook 365. Ability to use and navigate the Internet

-       Excellent problem-solving skills

-       Ability to operate phone systems, posting mail and using the franking machine.

-       Experience in Lotus Notes would be advantageous.

-       Excellent command of English, both written and spoken.

-       Interpersonal skills; approachable, friendly & professional
