PART-TIME PRIVATE PA & ADMIN ASSISTANT FOR HNWI

We are working with a lovely HNW individual to find a Part-time Private PA to assist in the smooth running of both private and business matters. You will be required to work in between the office in Central London and the principal’s two homes in Sunbury and Haggerston so being a confident driver with your own car is crucial.

Working two days a week in a hybrid role, this position involves complex diary management, ad hoc personal jobs for family members, purchasing gifts for clientele, extensive travel coordination and booking, busy daily activities, administration and impromptu tasks and duties as they arise. You will also be arranging and liaising with contractors, assisting with admin in the office, booking restaurants and working with the financial manager when needed. Part of your duties will be to assist on set during shoots as and when needed; helping restock craft tables, ensuring equipment is returned, fully charged and in good condition as well as laundering gowns, slippers and tablecloths after each shoot.

It is crucial that candidates have experience in a similar role, showing longevity and commitment to their previous employer/s. We are looking for a hard-working and dedicated candidate, someone who takes pride in all assigned tasks with no task being too small. You should be proactive, self-sufficient and able to work autonomously.

Working hours are typically two days a week (days still to be discussed) from 9am until 7pm, however, there may be times when you will be needed outside of these hours. Although predominantly a hands-on role, there will be flexibility offered to work from home at times.

KEY RESPONSIBILITIES INCLUDE:
• Unpacking the kit after each shoot and checking all kit is back and in good condition, replacing any used or missing stock as required.
• Ad-hoc personal jobs for family members from time to time
• Laundering gowns, slippers, and tablecloths after each shoot
• Thoroughly cleaning out the coffee machine after every shoot
• Repatriate craft after each shoot
• Updating stock list daily and ordering any stock needed
• Ensuring all electrical equipment (speakers, portable chargers etc) are fully charged before and after every shoot
• General housekeeping of the studio
• Backing up all hard drives onto our main company drive after every shoot and wipe the small hard drives once uploaded
• Supporting the principal as and when needed
• Complex ever-changing diary and calendar management
• Extensive door-to-door to door travel arrangements
• General PA duties
• Researching, shopping and wrapping luxury gifts
• Petty cash and invoice paying, keeping accurate records at all times
• Thorough maintenance of the internal filing system
• Undertake any other tasks that may be requested, including business support

ESSENTIAL CRITERIA:
• Confident in IT, emails, MS Office
• Confident driver with a clean driving license and your own car
• Strong commercial and business awareness
• Excellent English – both spoken and written
• Meticulous attention to detail
• Committed, with dedication and flexibility to provide out of hours support
• Problem solver with the ability to think outside the box
• Discreet, with a calm demeanour and the ability to work well under pressure
• Independent and responsible, adaptable, versatile with good common sense
