AMAZING PA OPPORTUNITY FOR HNW BUSINESSWOMAN
This is an amazing opportunity for an experienced Private and Business PA to support a high-net worth client from their Notting Hill residence and Paddington-based office. The principal is a highly successful Interior Designer, who requires first class support to manage her busy private and business life and it is essential that the successful candidate maintain complete discretion of all confidential information.
This is a varied and fast-paced role, which will require agility, flexibility, and a positive working attitude – you will very much be the glue that holds the schedule together and will ensure that everything runs smoothly at all times. Responsible for booking private appointments, organising parties and house events, you will need to be able to work efficiently and have a high level of secretarial skills (including touch typing).
This is an informal household with high standards, and very lovely and respectful principals - they are looking to hire a PA who that they can rely on to pre-empt their needs and ensure everything runs as it should. Usual working hours are Monday-Friday, 09:00 to 18:00, however you will need to be flexible to assist with events outside of these hours from time to time. Remote working for this role is not negotiable.
DUTIES TO INCLUDE:
• Responsible for all business and private administration for the principal
• Handling and responding to all correspondence including phone calls, emails, and letters
• Scheduling appointments and organising diary entries
• Preparing letters, presentations, and reports
• Setting reminders for meetings, appointments, and other important tasks
• Making travel and hotel arrangements
• Taking notes at meetings, preparing the minutes, and subsequently distributing to all participants
• Liaising with other members of staff and external parties such as clients and press
• Preparing expense reports and maintaining a filing system
• Create, edit, and update spreadsheets if needed
• Schedule travel arrangements for senior executives as well as clients, when applicable
• Maintain IT setup and work with the IT support company for all IT needs
• Organising events
ESSENTIAL CRITERIA:
• At least 3 years Private PA experience
• Tech savvy with excellent IT skills (Outlook, Word, Excel, Apple devices and ideally InDesign)
• Driver with a full, clean UK driving license
• Fluency in English (written and spoken)
• Excellent interpersonal and time management skills
• Strong organisational skills, common sense and an eye for detail are essential
• Ability to use initiative and to ‘make things happen’
• Calm with the ability to work well under pressure and manage stressful situations with ease
• Ability to multi-task, prioritise, be proactive and demonstrate self-initiative
• Highest level of discretion and confidentiality.
• Professional, loyal, and hardworking; enthusiastic, positive, and self-motivated
• Articulate and well-presented – am ambassador for the principal at all times
• Approachable and able to liaise with other staff members
• Brilliant checkable references are an absolute must
